Key Takeaways
Send the welcome before day one.
Share tools and access in one message.
Give the first task with a written process.
Set the check-in rhythm in writing.
Email 1: Welcome (Before Day One)
Subject: Welcome, and what to expect this week. Body: a two-line welcome, the start time in their time zone, the first-day call link, and a sentence on why the role matters to the business.
Email 2: Tools And Access (Day One)
List every tool with the login method (password manager invite, separate user), what it is for, and what they should not do in it yet. Ask them to confirm each one works.
Email 3: Your First Task (Day One Or Two)
One task, a link to the written process or screen recording, the deadline, and how to ask questions. Say that questions are welcome and expected.
Email 4: How We Communicate (Day Two)
The daily check-in format and time, the weekly review slot, the urgent channel, and response-time expectations on both sides.
Email 5: End Of Week One
What went well, one thing to adjust, and the plan for week two. Ask two questions: what was unclear, and what would make the work easier.
Tone Tips For Written Onboarding
Write the way you speak, in short sentences. Say what good looks like, not just what to do. Invite questions explicitly; many assistants hesitate to ask a new client. End each email with one clear next step.
What To Add In Week Two
A second task with a written process, an introduction to anyone else they will work with, and access to the shared processes folder. Ask them to write the first draft of a process document for a task they have now done twice.
What This Looks Like In Practice
An owner schedules all five emails on Sunday night. By Friday the assistant has completed two tasks, confirmed access to every tool, and sent the first weekly report without being asked.
A Quick Checklist Before You Start
Welcome sent before day one.
Access confirmed for every tool.
First task has a written process.
Check-in rhythm stated.
Questions Owners Ask
Should I use video calls too?
Yes. A first-day call and the weekly review should be live. The emails are the written backbone.
What if I hire through a provider?
They may send their own onboarding. Send these anyway; your expectations are the ones that matter.
