Virtual Assistant

Role guide

Hire a Remote Virtual Assistant

A flexible remote generalist who takes recurring tasks off your plate across admin, inbox, research and coordination.

What a virtual assistant does

A virtual assistant (VA) is a remote professional who takes on recurring tasks so you can spend your time on work only you can do. Unlike a task-by-task freelancer, a VA you hire as a long-term team member learns your preferences, your customers and your way of working.

A VA is the right starting point when your needs are varied and you are not yet sure what should become a specialist role.

Typical responsibilities

  • Inbox management and calendar coordination

  • Research: vendors, leads, competitors, travel options

  • Data entry, reporting and spreadsheet upkeep

  • Customer or lead follow-up using your templates

  • Light social media scheduling and content formatting

  • Ad hoc projects such as sourcing quotes or preparing slides

Skills to look for

  • Strong written communication and a habit of confirming understanding

  • Resourcefulness: finding an answer before asking for one

  • Comfort learning new tools quickly

  • Time management across several small, competing tasks

  • A calm response to changing priorities

Software and tools

  • Google Workspace or Microsoft 365

  • Slack, Zoom and email

  • Task tools such as Asana, Trello, ClickUp or Notion

  • Canva for simple graphics

  • Your CRM or help desk, once trained

Experience to look for

General VA experience is best evidenced by a longer tenure with one or two clients rather than many short gigs. Ask what tasks they owned end to end and what a former client would say they were best at.

If you need a lot of one skill, for example bookkeeping or outbound sales, hire the specialist role instead of stretching a generalist.

Interview questions

  1. Tell me about the most varied week you have had in a support role.

  2. How do you organize your day when everything is marked urgent?

  3. Describe a task you were given without instructions. How did you approach it?

  4. What tools do you use to stay on top of recurring tasks?

  5. How do you communicate when you are blocked?

  6. What would you like your first thirty days with us to look like?

When to hire a virtual assistant

  • You are answering email or doing admin outside of working hours

  • Your to-do list is full of tasks that are easy but time-consuming

  • You have documented a few processes and want them handled consistently

Hiring a virtual assistant internationally

The largest difference between VAs in different regions is working-hour overlap and communication style, not ability. We recruit from Latin America, the Philippines and South Africa and match on the hours you need covered, then screen for English, software fluency and relevant experience.
