A virtual assistant, or VA, is someone who does business tasks for you from a remote location. They are not in your office. They work from home or from a shared office in their own country, and they connect with you through email, chat, video calls, and shared tools.
The word “assistant” undersells it. Some virtual assistants handle general admin like inbox and calendar. Others are specialists: bookkeepers, customer service reps, sales callers, social media managers, or project coordinators. What they share is the working arrangement, not the job title.
What A Virtual Assistant Actually Does
The tasks depend on the role, but most fall into a handful of buckets:
Administrative work: inbox triage, calendar management, travel booking, and document prep.

Generalists handle a mix of admin tasks. They are the right first hire for most owners because they absorb the small, recurring work that eats a day.
Executive Assistants
An executive assistant works closely with one leader. They manage the calendar, inbox, travel, and follow-through, and they often act as a gatekeeper. They tend to be more experienced and cost more.
Specialized Assistants

Where Virtual Assistants Work From
Most virtual assistants hired by US companies work from the Philippines, Latin America, or South Africa. The Philippines has the deepest pool and long experience with remote work. Latin America shares US time zones and has strong bilingual talent. South Africa offers native English and overlap with both US mornings and European hours.
US-based assistants exist too. They cost several times more, and they make sense when time zone, accent, or local knowledge matters more than budget.
How Virtual Assistants Are Paid
There are four common arrangements, and the one you pick changes your costs and your legal setup:
Hourly contractor: you pay for hours worked, often through a platform that tracks time.
Monthly subscription: a flat fee for a set number of hours or a full-time assistant, sold by a service.
Direct employee: you employ the person, usually through an employer-of-record platform in their country.
Placement fee: a recruiter finds the person for a one-time fee, then you pay them directly.
Virtual Assistant Vs. Employee Vs. Freelancer
A freelancer works project by project and sets their own rates. An employee works only for you, with benefits and protections. A virtual assistant usually sits in the middle: a dedicated, ongoing relationship with one person, but structured as a contract or handled by a service that employs them for you.

When Hiring One Makes Sense
The clearest sign is a list of recurring tasks you could write instructions for. If you can describe the steps, someone else can follow them. Owners usually start with inbox, scheduling, and research, then add customer support or bookkeeping once trust is built.
It is too early if you cannot name three tasks you would hand off, or if the work has to happen in person. And it is the wrong tool if you need a licensed professional rather than support.
