Bookkeeper

Role guide

Hire a Remote Bookkeeper

Accurate, timely bookkeeping: reconciliations, payables, receivables and clean books for your accountant.

What a bookkeeper does

A bookkeeper records and reconciles your financial transactions so your books are accurate and current. They are not a substitute for a CPA or tax advisor, but a good bookkeeper makes an accountant’s work faster and cheaper by delivering clean, well-categorized records.

Typical responsibilities

  • Categorizing transactions and reconciling bank and credit card accounts monthly

  • Managing accounts payable and receivable, including invoicing and collections

  • Preparing monthly financial statements for review

  • Tracking expenses and receipts

  • Supporting payroll data entry in coordination with your payroll provider

  • Preparing year-end documents for your accountant

Skills to look for

  • Deep, accurate knowledge of double-entry bookkeeping

  • Attention to detail and a habit of reconciling until balances agree

  • Ability to explain findings to non-accountants

  • Discretion with financial data

  • Consistent month-end discipline

Software and tools

  • QuickBooks Online or Xero

  • Bill.com, Expensify or Ramp

  • Gusto or another payroll provider

  • Stripe, PayPal and Shopify for revenue data

  • Google Sheets or Excel

Experience to look for

Ask which accounting platform they use daily and how many client files or entities they managed. Look for someone who has closed books monthly for at least a year and can describe how they handle a reconciliation that will not balance.

Confirm the scope you need before interviewing: general bookkeeping is different from bookkeeping for an e-commerce, real estate or construction business with job costing or inventory.

Interview questions

  1. Walk me through your month-end close process.

  2. What do you do when a bank reconciliation is off by a small amount?

  3. How do you categorize an ambiguous expense?

  4. Describe a time you found an error in someone else’s books.

  5. How do you handle sales tax or inventory in your bookkeeping?

  6. What do you need from me to keep the books current?

When to hire a bookkeeper

  • Your books are more than a month behind

  • You are making decisions without reliable numbers

  • Your accountant is charging you to clean up records

Hiring a bookkeeper internationally

A remote bookkeeper needs secure access to financial systems. Use role-based permissions, a password manager and approval workflows so no single person controls payments end to end. Regulatory and tax responsibilities remain with you and your accountant; a bookkeeper supports the records, not the filings. Needs review: confirm any jurisdiction-specific compliance guidance with your accountant.
