Hire a Remote Project Manager

Remote project managers who keep timelines, people and deliverables moving without constant oversight.

What a remote project manager does

A project manager makes sure the right work happens in the right order by the right people. Remotely, this means running a clear system of tasks, owners and deadlines and communicating status before anyone has to ask.

Decide whether you need a project coordinator (tracks tasks, schedules meetings, chases updates) or a project manager (owns scope, timeline, risks and stakeholder communication). The second is a more senior hire.

Typical responsibilities

  • Turning goals into tasks, owners and due dates

  • Running standups, sprint planning or weekly status meetings

  • Tracking progress and flagging risks early

  • Managing client or stakeholder communication

  • Maintaining documentation, timelines and reports

  • Coordinating vendors and contractors

Skills to look for

  • Structured written communication

  • Comfort with ambiguity and the ability to ask clarifying questions

  • Prioritization and expectation-setting

  • Firm but friendly follow-up

  • Basic understanding of the work being managed (marketing, software, construction, etc.)

Software and tools

  • Asana, ClickUp, Monday.com, Trello or Jira

  • Notion or Confluence

  • Slack and Loom

  • Google Workspace or Microsoft 365

  • Gantt or timeline tools where appropriate

Experience to look for

Ask for one project they ran from kickoff to delivery: the team size, the timeline, what went wrong and how they recovered. Look for specifics such as how they estimated, how they handled scope changes and how they reported status.

  2. How do you handle a team member who consistently misses deadlines?

  3. How do you write a status update for a busy executive?

  4. What do you do when scope changes mid-project?

  5. Which tools do you set up first on a new project?

  6. How do you build trust with a team you have never met in person?

When to hire a project manager

  • Projects slip because nobody owns follow-up

  • Leaders are acting as project managers while running the business

  • Client work is growing and delivery is getting inconsistent

Hiring a project manager internationally

Project management depends on responsiveness, so the working-hour overlap matters more than in many roles. Ask for at least a few hours of shared hours with your core team, then decide how much asynchronous work is acceptable.
